How to connect QuickBooks Online to WorkZen
Go to Settings > Integrations > QuickBooks Online, click Connect, and authorize WorkZen in the QuickBooks popup. Then map your tax rates to QuickBooks tax codes and your financial data starts syncing automatically.
Connecting QuickBooks Online means your invoices, payments, estimates, and clients land in your books without retyping anything. You run the business in WorkZen; QuickBooks stays current on its own.
Connect your account
Connecting requires the Manage Integrations permission; company admins have it by default.
- Go to Settings > Integrations and open QuickBooks Online.
- Click Connect.
- A QuickBooks authorization popup opens. Sign in with your QuickBooks Online credentials and approve the connection. This takes a moment, and the page confirms with "QuickBooks connected successfully".
WorkZen checks that your QuickBooks account uses the same currency as your WorkZen company. If they differ, the connection is blocked with a currency mismatch notice, because mixing currencies would produce incorrect financial data.
Map your tax codes
Right after connecting, WorkZen asks you to map each of your tax rates to a QuickBooks tax code, so taxes on synced invoices match your books exactly.
- For each WorkZen Tax, pick the matching QuickBooks Tax Code.
- Click Auto-Match to apply suggested mappings; suggestions are marked so you can review them.
- Click Save Mappings.
Skipping tax mapping is allowed, but invoices with unmapped tax rates may fail to sync until the mapping is complete. If a tax code you need does not exist in QuickBooks yet, create it there first, then click Refresh on the mapping screen.
WorkZen re-checks your mappings nightly. If tax codes change on either side, the integration page shows a "Tax Mapping Needs Review" banner with a Review Mappings button.
After you connect
The integration page becomes your sync dashboard:
- Connection Status shows your QuickBooks Company ID, when it was connected, and a Test Connection button.
- Sync Status shows synced, pending, and failed counts, with Sync Now and Retry Failed actions.
- Open QuickBooks jumps straight to your QuickBooks account.
