Understand the Items Report

All plansBeginner3 minutesUpdated October 11, 2026

Go to Reports > Items Report, pick a date range, and click Run Report. Every line item on your estimates and invoices in that window rolls up by SKU (or by name when a line has none): quantity quoted, quantity invoiced, pre-tax revenue and share of the total. ZenGrow and above.

The Revenue Report tells you how much came in. The Items Report tells you what you sold to get it, SKU by SKU, so pricing and stocking decisions rest on numbers instead of a feeling.

Run the report

Go to Reports > Items Report. Pick a date range, optionally a client, and click Run Report. The window is the documents' dates (invoice date, estimate date), the same rule the Revenue Report uses.

What the numbers mean

Every line item on an estimate or invoice in the window rolls up by SKU; a line with no SKU rolls up by its name, so a renamed catalog entry still lands in one row. Per item you get:

  • Qty quoted: units on estimates the client saw (every status but unsent).
  • Qty invoiced and Invoices: units and documents on billed invoices; cancelled and void invoices never count.
  • Revenue: the invoiced lines' pre-tax total. Tips, surcharges and discount lines are not items and stay out.
  • Share: that revenue as a share of all item revenue in the window.

The summary cards give the item revenue, units invoiced, units quoted and how many distinct items moved; the chart ranks the top ten by revenue. Details has every item, sortable, and Export writes the same rows to CSV.

Reading it with the Revenue Report

The Revenue Report now also shows Average Job Revenue (invoiced total of the jobs billed in the window, per job) and a Year over year table under the trend, bucket against the same bucket a year earlier. Use the Items Report to explain a move you see there: when a month drops, the items that stopped selling are usually right at the top of "quoted" and absent from "invoiced".

Frequently Asked Questions

Item revenue is the pre-tax total of the invoiced lines, so taxes, tips and surcharges are not in it. Discount lines are left out too; they are not items.
No. Quoted counts lines on estimates the client saw (anything but unsent); invoiced counts lines on billed invoices. An estimate that was never converted in the window shows as quoted only.
It is part of the advanced reports on ZenGrow and above, and needs the financial reports permission like the rest of the Reports area.

This article answers:

  • Which of my products or services make the most money?
  • How many of each SKU did I quote and invoice?
  • Why does an item show quoted but not invoiced?
