Understand the Visits Report

Go to Reports > Visits Report, pick a date range, and click Run Report. You get every visit scheduled in that range: how many completed, cancelled or were no-shows, the split between client and lead visits, the average scheduled duration, and a breakdown by tag such as Repair or Install.

Your calendar tells you what was planned. This report tells you what actually happened to it, and what kind of work it was.

Run the report

Go to Reports > Visits Report. Pick a date range, choose a Group By, and click Run Report. The Visits Report is part of the advanced report set, available on ZenGrow and higher plans.

What the numbers mean

Four summary cards top the report:

CompletedVisits marked Completed, with the completion rate underneath
Cancelled or No-ShowVisits marked Cancelled or No Show, with the no-show count underneath
Client / Lead VisitsHow many visits were for clients versus leads, with the client share underneath

A visit with no tag is still counted everywhere except the tag breakdown; a note above the charts says how many of those there are.

The three tabs

  • Overview: Visits Over Time (scheduled, completed and cancelled side by side), Visits by Contact Type, and Top Tags.
  • Details: the Visit Details table with Date, Visit, Contact, Type, Status, Tags, Duration and Job for each visit.
  • Breakdown: the Tag Breakdown, the Status Breakdown and the Contact Type Breakdown, each with counts and the share of all visits.

Making tags useful

The tag breakdown is only as good as your tagging. If most visits show as untagged, start tagging visits as you schedule them and the report will show which kinds of work fill your weeks.

Who can see it

Users need the financial reports permission, which covers the whole Reports area. See roles and permissions.

Frequently Asked Questions

Every visit whose scheduled start falls in the date range, whatever its status. Tasks and reminders on the calendar are not visits and are left out, as are archived visits.
A visit can carry several tags, so it is counted under each one. Each percentage is that tag's share of all visits in the range, not a slice of a pie. Visits with no tag are counted in the note above the charts and do not appear in the tag breakdown.
The visit was scheduled with a start but no end, so there is nothing to measure. Those visits are left out of the average duration instead of being counted as zero minutes.
