What your client sees when you send an estimate

Your client gets an email with a View Estimate button. The link opens a branded page, no login needed, where they review line items, untick optional ones, and approve with a digital signature or decline with feedback. You get notified at every step.

You hit Send, and then what? Knowing exactly what lands on your client's side removes the guesswork, and makes you comfortable sending estimates instead of PDFs.

The email

Your client receives an email with the subject Estimate #[number] from [your company]. It contains your personal message (you write or edit it in the send dialog), a summary panel with the estimate number, date, valid-until date, and total, and a View Estimate button.

The estimate page

The button opens a clean, branded page on any device. No login, no account, no app to install; the link itself is the key. The page shows your logo and company details, the client's details, every line item, the totals with tax breakdown, your notes and terms, and a Deposit Required line if you set a deposit. Your client can Share, Print, or Download PDF at any time.

If you use optional line items, each one carries an Optional badge and a checkbox. Your client unticks what they do not want and the totals recalculate instantly, before their eyes. What they leave unticked is excluded from the approved estimate and the invoice.

Approving and declining

Two buttons sit at the bottom: Decline Estimate and Approve Estimate.

Approving opens a signature step: your client confirms their full name and signs by typing or drawing. The consent line states that signing accepts your terms. On Sign and Approve, the estimate is approved, signed, and converted to an invoice automatically. If a deposit is set, a Pay deposit now prompt appears immediately.

Declining asks (optionally) for a reason in a feedback box. The feedback lands in your notification and on the estimate's activity feed, so you know why you lost it.

What you see back in WorkZen

  • Viewed: when your client opens the page, the estimate's activity feed logs it and you get an "Estimate Viewed" notification. Your own team opening the link does not trigger this, and repeat views are throttled, so the signal stays honest.
  • Approved: an "Estimate Approved" notification with the amount, plus the signature, signer name, and date on the estimate.
  • Declined: an "Estimate Declined" notification carrying any feedback.
Note

The Approve and Decline buttons only appear on estimates with the Sent status. An estimate you have not sent yet can still be previewed through its link, but the client cannot act on it.

Frequently Asked Questions

No. The link works without any login or password. Anyone with the link can view the estimate, so your client can forward it to a spouse or business partner.
The approval records the signer's name, the signature image, the date, and the device's IP address, and posts them to the estimate's activity feed.
The page shows an expired notice with an Ask for extension button. You get a notification and can extend the valid-until date; your client is notified with a fresh link.
