How To Find Anything With Search

All plansBeginner3 minutesUpdated October 2, 2026

Click the magnifying glass at the top of any page, or press Cmd+K (Mac) or Ctrl+K (Windows), and start typing a name, email, phone number or document number. Results are grouped into Clients & leads, Visits & jobs, and Money, plus matching pages and settings. Press Tab to narrow the search to one type, and Enter to open the highlighted result.

Search is the fastest way around WorkZen. It finds your records, jumps to any page or setting, and starts a new client, job, visit, estimate or invoice without leaving the page you are on.

Open search

  • Click the magnifying glass in the top bar, on any page.
  • Or press Cmd+K on a Mac, Ctrl+K on Windows. Press it again to close.
  • Or press / anywhere you are not already typing.

Search your records

Start typing. Records appear once you have typed two characters, grouped the way you usually think about them:

SectionWhat it finds
Clients & leadsNames, business names, email addresses and phone numbers
Visits & jobsVisit titles and site contacts, job numbers and titles, and the client's name
MoneyEstimate and invoice numbers, PO numbers, and the client's name, with the status and total
Pages and SettingsAny page or settings screen by name, from the first letter

The words you typed are highlighted in each result, and the top right of the search box shows how many results you have. Converted leads are left out, because they already live on as clients.

Narrow it down

The chips under the search box limit the results to one kind: All, Clients, Jobs, Visits, Estimates, Invoices, Pages or Settings. Click one, or press Tab to move to the next chip and Shift+Tab to go back. Clients covers leads too.

With nothing typed, Pages and Settings list everything you can jump to.

To search inside one list instead, with status tabs and filters, see search, filter, and export your lists.

Open a result

  • Use the up and down arrows to move, and Enter to open.
  • Cmd+Enter (Mac) or Ctrl+Enter (Windows) opens the highlighted result in a new browser tab. Visits are the exception, since they open in place.
  • A visit opens in the visit window on top of the page you are on, so you do not lose your place.
Tip

Looking for a client by phone? Type any part of the number, like the last four digits. Dashes, spaces and brackets don't matter.

Recent and Create

Open search without typing and you get two shortcuts:

  • Recent: the last six clients, leads, jobs, estimates, invoices or visits you opened, with how long ago. Visits count when opened from search.
  • Create: New Lead, New Client, New Job, New Visit, New Invoice and New Estimate. Each opens the same form as the + button at the bottom right of the screen.

You only see the Create buttons your role allows.

What you can find depends on your role

Search follows the same permissions as the rest of WorkZen, so it never shows you something you could not open.

Subcontractors only find the visits they are assigned to. If a teammate can't find something you can, see a team member can't see something.

Frequently Asked Questions

Search only shows what your role lets you open. Without the View Invoices or View Estimates permission, those results are hidden. Ask an admin if you should have access.
Search shows the five best matches per type so the list stays short. Type a few more letters, or open the Clients, Jobs, Estimates or Invoices page for the full list.
Recent shows the last six clients, leads, jobs, estimates, invoices and visits you opened, from search or anywhere else, newest first. It is saved in your browser, so it starts empty on a new computer or in a private window.
Yes. Client and lead phone numbers, and the contact number on a visit, all match however you type them, with or without dashes, spaces or brackets.
