Financial Settings: defaults, numbering, tips

Settings > Financial Settings holds the defaults every new estimate and invoice inherits: default notes and terms, estimate validity, document numbering for all five document types, customer tip options, and Interac e-Transfer with automatic payment reconciliation.

Every estimate and invoice you create inherits its starting point from one page. Configure Settings > Financial Settings once, before the first invoice goes out, and every document after that is born correct.

Document defaults

Set the default Invoice notes, Invoice terms, Estimate notes, and Estimate terms that every new document starts with. Not sure what to write? Use market-standard templates drops in professional wording (payment due in 30 days, estimate valid for 30 days) that you can tweak. Each document stays editable after creation; defaults are the starting point, not a straitjacket.

Estimate validity

Set the Default validity period (days) for new estimates, or leave it at 0 so estimates never expire. New estimates get their valid-until date from this automatically.

Document numbering

Control the next number for all five numbered documents: invoices, estimates, jobs, payments, and expenses. Coming from another system and want your invoices to continue at #4880 instead of restarting at #1? Set it here.

Warning

Numbering only moves forward. You can raise the next number any time, but you can never lower it back, and WorkZen makes you confirm before committing. Existing documents keep their numbers regardless.

Tips

Turn on Allow customers to add a tip when paying invoices and choose up to 5 percentage options (1 to 35 percent). Tip choices appear on the online payment page, and a No tip option is always there, so it's an invitation, not a shakedown.

Interac e-Transfer (Canada)

Take e-Transfers without the "did it arrive?" ritual:

  1. Choose Use WorkZen's Interac email address and add it to your bank as a transfer recipient.
  2. Enable autodeposit at your bank.
  3. Turn on Add Interac email to invoices and estimates so clients see where to send.
  4. Automatic payment reconciliation then matches each incoming transfer to its invoice and records the payment for you.
Note

You can use your own Interac email instead, but WorkZen cannot automatically match payments sent to a custom address; you'll record those manually. Parts of the e-Transfer automation require ZenGrow or higher.

Where taxes live

Tax rates are managed on your company profile, not here: they come from your country's tax dataset, which is also why the country locks after setup.
