How to make and take calls in the mobile app
Open the Phone tab, type a number on the Keypad or tap a phone number on any client, lead, or visit, then tap the call button. Incoming calls ring on your phone like any other call. During a call, tap the chevron at the top left to minimize the call screen and keep working in the app; tap the "Tap to return to call" strip to get back.
Every WorkZen line works right inside the mobile app. You call from your business number, your phone rings for incoming calls, and everything about the call, the recording, the transcript, the caller's record, is one tap away. This guide covers placing a call, answering one, and using the rest of the app while a call is running.
Where calling lives
Once a ZenPhone number is assigned to you, a Phone tab appears in the bottom bar with these views (on iPhone, Messages sits here too):
| View | What it does |
|---|---|
| Keypad | Dial any number. Shows Calling from with your business number. |
| Recents | Your call history, with search. Android filters by All Calls, Incoming, and Outgoing; iPhone has a Voicemail filter. |
| Contacts | Your clients, leads and company contacts, each with a call button. |
No Phone tab? No number is assigned to you yet. Until there is, tapping a phone number anywhere in WorkZen opens your phone's own dialer, and the call goes out from your personal number. See how to get a business phone number to set up a line.
Make a call
- Open the Phone tab and stay on Keypad.
- Type the number. If you have more than one line, tap the Calling from row to choose which number to call from.
- Tap the green call button.
The faster route is from the record. On any client, lead, job, or visit, tap the phone number. The Keypad opens with the number already filled in, so you can check the line you are calling from, then tap the call button.
Android asks for microphone access the first time you tap the call button. Allow it, or your calls connect in silence. iPhone asks when you first open the app; if you missed the prompt, see fixing silent calls on iPhone.
Answer a call
Incoming WorkZen calls ring like a regular phone call, on the lock screen too. You see the caller's name when the number matches a client or lead, and which of your company's lines was called (for example "Ana Reyes · via Google Ads"). Slide or tap to answer as you would any call.
Incoming calls open a full-screen Incoming Call view with the caller's name or number and the line that was called. Tap Accept to answer, or Decline to stop the ringing on your phone.
Declining only silences your phone. The call keeps ringing for anyone else on that line, and if nobody answers, the caller reaches your voicemail.
The call screen
While a call is connected, the screen shows the caller's name or number and a running timer, with these controls:
- Mute turns your microphone off and on.
- Speaker switches between the earpiece and the loudspeaker.
- Keypad opens a dial pad for extensions and phone menus. Each digit is sent as a tone.
- The red button ends the call.
Keep working during a call
You do not have to stare at the call screen. Tap the chevron at the top left to minimize it. The call keeps going, and a strip appears at the top of every screen with the caller's name, the timer, and Tap to return to call.
While the strip is showing you can do anything in the app: open the caller's client or lead record, check today's visits, or create a new lead for a caller you have never spoken to. Tap the strip whenever you need the call controls again. When the call ends, the strip goes away on its own.
Took a call from a new customer? Minimize the call, open Leads (under More on iPhone, in the menu at the top left on Android), add the lead while they are still on the line, then tap the strip to get back and confirm the details with them.
After the call
Open Recents and tap the call to see its details: who called whom, the duration, and, with ZenPhone Max on the line, the recording player, the AI summary, and the transcript. From the actions menu at the top right you can:
- Call the number back.
- Create Contact, which asks whether to Create Lead or Create Client and fills the phone number in for you.
Call recording, transcripts, and the AI summary are part of the ZenPhone Max add-on, per line. Calling itself comes with every ZenPhone line. See the pricing page for current rates.
