How To Set Up Time Tracking in WorkZen

Turn on Enable Time Tracking under Settings > Time Tracking. Your team then clocks in and out from the clock button in the header or the mobile app, and all hours land on the Time Tracking timesheet.

Paper timesheets are bad at math and worse at memory. WorkZen's time clock records exactly when each person starts and stops, so payroll runs on facts.

Turn it on

  1. Go to Settings and open Time Tracking.
  2. Switch on Enable Time Tracking.
  3. Save.

While time tracking is off, nobody can clock in or out and the time clock button stays hidden from the interface. Changing this setting requires the Manage Company Settings permission (admins by default).

How your team clocks in and out

Once enabled, every team member gets a clock button in the top header with a status dot: green while clocked in, red while clocked out. Clicking it opens the time clock with Clock In or Clock Out, plus the running Duration since clock-in.

The mobile apps have the same clock, which is where field techs live. On mobile, clocking in also shares the technician's live location for the duration of their shift, and location sharing stops the moment they clock out. Seeing team locations requires the view team schedule permission.

Review hours on the timesheet

Open Time Tracking in the sidebar's Tools section. The timesheet lists every entry with Clock In, Clock Out, and Duration, along with Total Entries and Total Hours for the period. Filter by Date Range or search by employee name.

Everyone sees their own entries. Users with the Manage Time Tracking permission (admins and managers by default) see the whole team's entries and can edit or delete them. Edited entries are flagged Edited, so corrections stay transparent.

Forgotten clock-outs

If someone leaves an entry running, WorkZen closes it automatically about two hours after your company's closing time, taken from your company work hours (11:59 PM when no closing time is set). These entries are flagged Auto-closed for review.

Tip

Set your company work hours before rolling out the time clock. Accurate closing times make auto-close catch forgotten clock-outs the same evening instead of at midnight.
