Why don't my changes show up on my other device?

All plansBeginner4 minutesUpdated September 28, 2026

Usually the other screen has not refreshed yet: pull down on the phone, or reload the page on the web. If the change was made on a phone without signal, it may still be waiting to sync on that phone; open that phone with signal and tap the "changes waiting to sync" banner. If it is still missing, check that both devices are signed in with the same email.

When a save succeeds, the change is stored on WorkZen's servers, and every device reads from that same place. So when another device looks out of date, one of these five things is almost always the reason. Work through them in order.

1. Refresh the screen you are looking at

Screens do not all update on their own. Messages and clock-in status arrive live on the web and on both mobile apps. Most other screens show what was loaded when you opened them.

WhereUpdates by itselfRefresh by hand
WebLists and record pages (jobs, clients, estimates, invoices, leads) reload when you open them or come back to the browser tabReload the page
iPhoneMessages, clock-in statusPull down on a list or record screen
AndroidMessages, clock-in statusPull down on a list or record screen

Pull to refresh works on the Dashboard, Schedule, Messages, the main lists, and the detail screens for clients, jobs, leads, estimates, invoices, and visits.

2. Check whether the change left the phone

The mobile apps keep a copy of recently loaded jobs, visits, clients, leads, and conversations, so you can still look at them without signal. When the phone is offline, a banner says Offline. Showing cached data (iPhone) or You're offline. Showing cached data. (Android).

A few field actions are saved on the phone and sent later when there is no signal:

  • Starting, completing, or cancelling a visit, marking it as a no-show, and dispatching it
  • Completing a job
  • Recording a payment
  • Creating an expense
  • Sending a message
  • Clocking in or out

Until they are sent, no other device can see them. The banner then shows changes waiting to sync with a count. They send by themselves when signal returns or when you reopen the app. To send them right away, tap the banner to open Pending sync, then tap Sync now.

Any other edit, like changing a client's phone number, needs a connection. If that save fails, it is not kept for later: make the change again once you have signal. The web app has no offline saving at all.

Warning

Signing out of the app throws away any changes still waiting to sync on that phone. Open Pending sync and make sure it says All changes synced before you sign out.

If WorkZen refuses a waiting change (for example, the office already cancelled the visit you completed), it shows as Failed in Pending sync. Tap Retry to send it again, or remove it: Discard on iPhone, the trash icon on Android.

3. Update the app

On the web, when a newer version is out, a banner says A new version is available. Refresh to get the latest updates. Click Refresh. The mobile apps do not prompt you, so an older version can keep running for a long time and may be missing screens and fields the newer ones show. Check for a WorkZen update in the App Store or Google Play.

4. Confirm both devices use the same account

Each email address is one WorkZen account in one company. If you ever signed up a second time with another email (or with Google or Apple on a different address), that login opens a separate company that looks empty. Compare the email on each device:

  • Web: click the profile icon at the top right; your name and email are at the top of the menu.
  • iPhone: tap More, then Settings; your email is under your name at the top.
  • Android: tap the menu icon at the top left, open Tools, then tap Settings; your email is under your name at the top.

If they differ, sign out and sign back in with the right email (on iPhone, Sign Out is at the bottom of Settings; on Android, Logout is at the bottom of the menu). Sync any waiting changes first. Trouble getting in? See Why can't I log in?

5. Your role may hide the record

If a teammate sees a job, client, or invoice that you cannot, the change did sync; your role limits what you see. Ask an admin to check your role. Roles and permissions explains what each role can see.

Frequently Asked Questions

No. When a save succeeds, the change is on WorkZen's servers and every device reads it from there. The only sync button is **Sync now** in the **Pending sync** sheet on the mobile apps, and it only matters for changes made without signal.
Partly, on the mobile apps. You can view recently loaded jobs, visits, clients, leads, and conversations, and the field actions listed in step 2 are saved on the phone and sent later. Everything else, and the whole web app, needs a connection.
Yes, as long as the phone gets back online within 24 hours. The punch keeps the time you tapped, not the time it synced. Punches still waiting after 24 hours cannot be accepted and are dropped, so open the app with signal before then.
