Your first week in WorkZen: a checklist

Set up your company profile first, then your financial settings and work hours, then your price book. Import your clients, invite your team, and finish the week by sending your first estimate. Each step below links to the full guide.

New software on a Monday is nobody's idea of fun. This checklist orders the setup so each step makes the next one easier, and links the full guide for each. Most businesses finish the whole list in an afternoon; a week gives you room to breathe.

Day 1: make WorkZen yours

1. Set up your company profile. Company name, logo, address, timezone, and currency. Your logo lands on every estimate and invoice you send, and the timezone controls every date you will ever see, so this comes first.

2. Configure your financial settings. Document numbering (so your first invoice is not INV-1 if you are mid-year), tax rates, and default terms. Five minutes here saves editing every document later.

3. Set your work hours. Booking, scheduling conflicts, and your AI receptionist (if you add one later) all read this schedule.

Day 2: load your business

4. Build your price book. Your services and materials, priced once. Every estimate and invoice pulls from it, so quoting becomes picking instead of typing.

5. Import your clients, leads, and price book from a CSV export of your old system or spreadsheet. Go to Settings > Data Import. If your price book lives in a spreadsheet, this step and the one above are the same step.

Day 3: bring the team

6. Invite your team members and set their roles and permissions. Technicians see their jobs and schedule; admins see everything. Everyone gets the mobile app.

Day 4 and 5: run real work through it

7. Create and send your first estimate. A real one, to a real client. Your client approves it online, you convert it to an invoice, and you record the payment. One document chain end to end teaches you more than any tour.

8. Schedule a visit for the job, so your week shows up on the Scheduler and on your tech's phone.

Tip

When the week is over
